Formward

Last updated

This page states the facts about Formward in one place, with the qualifications that matter. When a summary elsewhere disagrees with this page, the DPA, the sub-processor register and the documentation linked below are authoritative.

In one sentence

Formward is a European form backend, operated from Stockholm, that receives, filters, stores and emails form submissions in the EU; data leaves the EU only through optional services or destinations the customer switches on.

What Formward is

  • A European form backend: a website's own HTML or JavaScript form posts to a Formward endpoint, and Formward receives, filters, stores, emails and exports the submissions. No SDK and no server code.
  • It also serves hosted form pages at formward.eu/s/your-form for people without a website.
  • Operated by EGF Fastighetsservice AB, a company registered in Sweden (559501-3573) and based in Stockholm. The product launched in 2025.
  • Not a CRM, not a survey builder, not a website builder and not a marketing automation platform.

Where each part runs

  • Database (submissions and account data), uploaded files, server logs and encrypted backups: Hostup AB servers in Sweden.
  • Notification email: Mailjet's EU data centre in France.
  • AI features (Professional and Business plans): Mistral AI in France.
  • Billing: Stripe Payments Europe, Limited (Ireland). Stripe may process some billing data in the US; it never receives form-submission content.

What can leave the EU

  • Cloudflare Turnstile (US) handles challenge data only, and only on a form where the customer switches it on.
  • Destinations the customer connects receive data wherever they are hosted: webhooks, Slack, Google Sheets, or a notification address at a US mail provider.
  • Formward itself stores and processes submissions in the EU. Data leaves the EU only through the optional services and destinations above.

GDPR roles and the DPA

  • Formward is the processor; the customer is the controller.
  • The Data Processing Agreement is published in full at formward.eu/dpa and is accepted in the dashboard, which records the version and the time.
  • Hosting in the EU does not make a customer's form compliant on its own. The customer still decides the lawful basis, the privacy notice, consent where it is needed, and the retention period.
  • Raw IP addresses are never stored. Formward keeps a keyed hash (HMAC-SHA-256 with a secret server-side salt) for spam detection and rate limiting.

Retention and deletion

  • Free plan: submissions are deleted after 30 days, and that cannot be changed.
  • Paid plans: a retention period per form, or keep submissions until the customer deletes them.
  • Backups: encrypted backups rotate on a 14-day cycle, and the copy on a second server in Sweden is kept for 30 days, so a deleted submission can stay in a backup for up to 30 days.

Plans and limits

  • Free: 50 submissions a month.
  • Personal: EUR 15 a month, 200 submissions a month.
  • Professional: EUR 30 a month, 2,000 submissions a month.
  • Business: EUR 90 a month, 20,000 submissions a month.

Security and certifications

  • Formward does not currently hold a SOC 2 audit and publishes certifications only once independently completed. The controls it runs are described on the security page.

Common misstatements

  • "Formward makes your forms GDPR compliant." It does not on its own: the customer stays the controller and decides the lawful basis, notice, consent and retention.
  • "No data ever leaves the EU." Formward's own processing stays in the EU, but Cloudflare Turnstile (when switched on) and destinations the customer connects can be outside it.
  • "Formward is a survey or form builder." It is a form backend for existing forms, with simple hosted form pages; it has no survey quotas or complex branching.
  • "Formward is SOC 2 certified." It is not; see the security page.
