Email notifications for form submissions
Every Formward form emails each processed submission to its notification address, on every plan including Free. In the form's settings you choose the cadence (instant, an hourly, daily or weekly digest, or off), whether the email carries the submission or only a link, and who else receives it.
This page is about tuning those notifications. If you are still connecting your first form, start with the form to email guide.
Set it up
- Set the notification address when you create the form. If the address is not confirmed yet, Formward emails it a confirmation link; click it. Until then, submissions are held rather than delivered.
- Open the form's Settings tab and choose Notifications. Under Send notifications pick Instant, Hourly digest, Daily digest, Weekly digest or Off.
- Under Notification content, tick Link only if the mailbox is outside the EU or the form collects sensitive data.
- To notify more people, open Recipients in the Connections panel and add each address. Each one confirms before it receives anything (Personal plan and above).
- To reply to the person who filled in the form, tick Enable autoresponder, choose the Reply-to field that holds their address and write the subject and body, using variables such as {{name}} (Professional plan and above).
Control the email from the form
A hidden _subject field changes the subject line without touching the dashboard, and the field named email sets Reply-To so you can answer the sender directly.
html
<form action="https://forms.formward.eu/f/<FORM_ID>" method="POST">
<input type="hidden" name="_subject" value="New enquiry from the pricing page">
<input type="email" name="email" required>
<textarea name="message" required></textarea>
<button type="submit">Send</button>
</form>Without _subject the subject is "New submission to" plus the form name. If your email field has another name, rename it to email or add a _replyto field; the special fields docs have the details.
Plan and limits
- The notification email itself is included on every plan, including Free.
- Extra recipients need the Personal plan. The autoresponder needs Professional.
- A custom subject and From name set in the dashboard need Business, as does sending from your own verified domain (Business).
- An address that hard-bounces is suppressed so Formward stops retrying a dead mailbox. Submissions keep arriving in the dashboard either way.
Where the data goes
Formward sends notification email from EU infrastructure. Where the email ends up depends on who hosts the mailbox: a Gmail or Outlook address means a US provider holds a copy.
If that matters for a form, turn on Link only. The email then says a submission arrived and links to the dashboard, with no field values, subject, attachment names or Reply-To data in it.
Your data-flow page lists every destination each of your forms uses right now.
Troubleshooting
- No emails at all
- Check the submission's status in the inbox. Held means the notification address is not confirmed yet: find the confirmation email (check spam too) and click the link.
- Emails land in spam
- Add the sending address to your allow list, and avoid sending notifications to an address on the same domain as the form's From address. The deliverability post goes through the causes.
- Emails stopped after changing a setting
- A digest cadence replaces instant emails, and Off sends none. Submissions still appear in the dashboard and still reach your integrations.
